Workflows in Dataedo

In 24.2 we introduced workflows to Dataedo.

Manual objects (terms, domains, data products, and lookups) have a representation of their status and can be transitioned through stages of work — from defining an idea to being published after an official approval. The path that these objects take is a workflow. The workflow can be fully customized to reflect the processes within your organization. Depending on your needs, you can have one universal Workflow, or create multiple ones with different manual objects in mind.

Review and change status

The Steward Hub is an item accessible to Users with Edit permissions (Data Stewards, Power Data Stewards, and Approvers). In there you can view actions awaiting execution by the editors. In other words — you can see all the objects awaiting your attention, and change their status.

Each time a new object lands in Steward Hub, assigned users will be notified by an in-app notification.

Below you can see an example view in Steward Hub. After selecting a category from the navigation, you will see a list of awaiting actions. Clicking one of them will open a list of objects. In the screenshot, we are viewing a list of Ideas that need to be worked on. Once an Idea is picked up, the status can be changed to the next one in the workflow — In definition. If an Item is further down in the workflow, you can also move it back for further refinement.

If the Assignee was based on a custom user type field during Workflow Configuration, it will be inherited by objects with a blank Assignee field. This means that a User assigned to that custom field will see all objects where no Owner is defined.

Visibility of objects based on status

Visibility of objects in Dataedo is determined both by User permissions and the status of the object.

Each status the object can be in, has a parameter called Visible for non-editors. If you cannot see a certain object, it can be that it has not been set in a correct status (or that it is not meant to be seen by a non-editor just yet).

This can be tailored to each organization’s needs by configuring the workflow by an admin. Read more about the configuration here.

Status history

In the community tab, Users with edit permissions are able to check the status history of an object they are viewing. The most recent changes are displayed on the top.
